Improved invoice run tool now supports for consolidated invoicing and configurable billing periods for each client

In October we introduced a new and improved version of the invoice engine and added support for configuring multiple brands within your account.

New and improved invoice runs

When we first introduced our ßeta invoicing engine in 2021 we knew it was far from the finished article. With the help of a number of early adopter clients we've spent the last 6 months working towards a production release. This month we are delighted to announce the engine has moved out of ßeta and is now available to all clients.

The new engine includes some big features that were lacking from the initial release, including:

  • Configurable billing periods for each client (including in-advance, in-arrears and mid-period).
  • Consolidated invoicing (merging all invoices for a client such as a local authority into a single invoice).
  • A powerful new invoice run tool for viewing billing schedules and generating invoices.
  • Support for custom invoice line item templates for each client (allowing invoices to meet the format requirements of each funding body).
  • Notification of billing discrepancies ahead of time.
  • Support for exporting invoices to your accounts package including Xero.
  • Support for downloading and sending branded invoice PDFs (including in bulk).

Create multiple brands within your account

CareHQ allows you to configure your account so that emails and documents (such as PDF invoices and statements) sent to clients are branded inline with your organisation (including company details, logo, colour scheme and even terminology). With this latest update it is now possible to configure additional brands for your account and select which brand each of your locations falls under.

We have multiple clients representing more than one brand within their portfolio, by introducing support for multiple brands per account our clients are now able to manage all their brands under a single account.

Other updates & fixes

  • User can now opt to be notified when a resident is admitted or discharged. Under your profile select the Notify me when a service user is admitted or discharged preference.
  • A list of admission, discharge and death events has been added to the Admissions, deaths and discharges report so that individual events can easily be reviewed.
  • Using the middle mouse button to select rows in a listing now opens the selected record in a new tab as per the expected behaviour.
  • Resolved issue with Google calendar / GMail reading times for iCalendar events attached to home visit and assessment confirmation emails. Previously the timezone wasn't being correctly identified as BST and so times would be displayed in UTC.
  • Resolved issue where two or more events displayed on the calendar (week view) at the same time could in some scenarios overlap.
  • The To field present when manually adding or updating an invoice or credit note now correctly displays all the relevant options. In some scenarios previously not all valid contacts were available to select.
