In October we added new financial reports for aged debt and accruals, introduced support for linking contacts to multiple locations (homes) and released a number of improvements and fixes based on user feedback.

New financial reports

Aged debt by billing party and resident report

CareHQ offers two aged debt reports. Aged debt by billing party provides a traditional aged debt report with a breakdown of overdue debt by the billing party and debt age. We also provide an Aged debt by resident report which groups debt by resident and billing party (e.g. how much is due from a billing party for a resident).

Unallocated funds can be included or excluded from the aged debt by billing party report.

Accruals report

The accruals report calculates the amount of revenue underbilled vs overbilled on any given date.

  • Underbilled is defined as revenue for care delivered but not invoiced.
  • Overbilled is defined as revenue for care invoiced but not delivered.

Other updates & fixes

  • Added a Save and new option when adding expense ledger entries reducing the number of steps to add multiple entries.
  • Updated the primary navigation to remain functional when in the minimised state.
  • Location contacts can now be linked to multiple locations (homes). Before this change location contacts, such as ICBs or Councils which are often associated with more than one home, would end up being duplicated.
  • Added support for merging two or more location contacts into a single record.
  • Added support for defining a list of tags that can be assigned to messages (email and SMS).
  • Introduced a dedicated finance inbox.
  • Regional managers and account owners now have access to relevant inboxes from their primary navigation.
  • Users can now opt to receive notification emails when a message they sent through CareHQ receives a reply.
  • Location contacts can now be viewed at organisation and region level.
  • Added financial highlights to the location contacts Invoices page, including:
    • Amount owed and overdue
    • Amount of unallocated funds
    • Total weekly revenue from contracts and average weekly rate
    • The number of residents the contact is funding and across how many homes
  • The term Outstanding with regard to actions has now been replaced with Open.
  • Regional managers with account owner privileges are now able to update room names/numbers.
  • Nominal codes can now be set up even when the invoicing module isn't enabled (allowing nominal codes to be used in ledgers).
  • Fixed issue where warnings about potential calendar conflicts were not shown for bookings or absences that started or ended on the same date as the date/time being checked.
  • Issues with next and previous shortcuts for some resident pages have been resolved. When day care was released shortcuts on some pages would generate a 404 when selected.
  • Replies to low balance email notifications are now correctly assigned to the recipient contact and not just the associated resident.
  • Fixed the URL in actions generated for expired documents to correctly link to the document that needs renewing.
  • It's now possible to generate a credit note for an inactive resident.
  • Fixed redirect after adding / updating a day care booking to return the user to the relevant week not the current week.
  • Issue with room API read endpoint not returning results has now been resolved.
  • Fixed issue where in some scenarios residents with pending bookings would be flagged as inactive instead of pending ahead of their admission date.
