A very busy February saw us achieve CE+ certification, real-time scheduling conflict detection, a new resident documents search and a host of improvements to the billing engine.

Cyber Essentials Plus certification achieved

In February we achieved Cyber Essentials plus certification. Cyber Essentials is a Government-backed scheme that helps organisations protect themselves against a range of the most common cyber attacks.

The plus indicates that a qualified external agency has verified we are compliant with standards set by the Cyber Essentials framework. Using approved external agencies to verify our security practices not only gives our clients confidence in our handling of their data, but helps us to stay aware of new threats and best practices.

Real-time detection of scheduling conflicts for home visits and assessments

When arranging (or re-arranging) a home visit or care assessment CareHQ will now warn you in real-time about any potential scheduling conflicts (such as other home visits, care assessments or events that day).

Previously users would have to remember to check the care home's calendar which is a step that can be forgotten. Now users are made aware of any potentially overlapping events when entering the date and time, minimising the risk of scheduling conflicts.

Other updates & fixes

  • Documents uploaded for residents can now be searched for at account or location (care home) level.
  • Added support for setting the invoice item type for invoice line items associated with a specific billing contract. The value is set by default based on funding type but can be overridden. This replaces the previous implementation where only a single invoice item type could be assigned and used for all billing contracts.
  • Read API endpoints added for nominal codes.
  • Added a new article explaining which resident field to use for CQC statutory notices.
  • Added a new article explaining the last interaction date/time for care enquiries.
  • The invoice run now displays a breakdown by funding type for the amount being invoiced.
  • Invoices can now be searched by contact email address.
  • A dedicated invoices and credit notes export has been added for QuickBooks.
  • Added notes field for billing contracts.
  • Added support for flagging service user bookings as checking out the day after their booking ends (this is enabled on a per account basis).
  • Order of line items within consolidated invoices is now set by service user / resident name.
  • Service user Id can now be viewed on the service user's profile page and searched by. This is to help provide a unique Id for CQC notification purposes.
  • Added funding/contribution type columns to export sheets for location performance and occupancy reports.
  • Added additional columns to service user contact export including funding type and reason for leaving / closing.
  • Updated the room chart user interface to improve the clarity of check-in / checkout events.
  • Added .gov.uk to the real-time email validators known top-level domain (TLD) list.
  • Closed enquiries are now shown by default on the waiting list page.
  • Adding or removing a care enquiry from the waiting list now updates the last interaction date.
  • Fixed issue where multiple invoices were generated for contacts with consolidated invoicing enabled.
  • Bookings 1 or 2 days in length are now visually displayed at the correct length in the booking chart (previously 3 days was the minimum span for a booking).
