How to book two related residents into the same room

If two residents are partners and are able to share a suitable room, CareHQ allows you to record both residents as occupying the same room.

This article covers how to update a room to support double occupancy, how to ensure the residents are recorded as being partners, and how to admit both residents into the double occupancy room.

Good to know

In our experience moving resident data from other platforms, it's common to see multiple (sometimes as many as 6) unrelated residents booked into a single room. The additional steps and checks within CareHQ prevent the possibility of admitting more than one resident to a room by mistake.

Setting a room to support double occupancy

To update a room so that it can support double occupancy, follow the steps below:

  • As an account owner or regional manager...
    • Select Locations from the primary navigation, then select the name of the home.
  • As a location manager...
    • Select Location from the primary navigation.
  • From the Location details page, select the Rooms tab and select the appropriate room from the list.
  • Select the Update action (top-right).
  • In the Specifications section, set Supports double occupancy to Yes, then select Save.
Good to know

If a room set as supporting double occupancy is unoccupied, it will appear as an option when admitting a new resident. If a double occupancy room is already occupied by a resident, it won't appear in the room availability options. Before a second resident can be admitted to a double occupancy room, the relationship to the first resident must have been recorded by using Set partner in home.

Admitting residents who are partners into a double occupancy room

When two residents have an established relationship making them life partners, and wish to share a double occupancy room, they can be admitted into a room that supports double occupancy by following the steps below.

Managing the first partner resident

How you manage the first partner depends on whether they are already a resident at the home or not.

  • If not a resident, initially admit the first partner in the normal way, making sure to select the double occupancy room from the room availability checker. Set the booking type and rate as usual.
  • If the first partner is already a resident, either set their room as supporting double occupancy (as above) or move the resident to a room which has been set as supporting double occupancy.

Admitting the second partner resident

  • To admit the second resident, complete the Resident information form as usual, but instead of selecting the Save and book room button, simply select Save. This will create a Pending resident record.
  • Select the Details tab for the Pending resident record and then select more actions (three dots) in the top right of the screen before selecting the Set partner in home option.
  • Start to type the name of the first partner resident (already admitted to the room) and their name should be presented. Select the name to confirm it, then select Save.
  • Back on the Details tab for the Pending resident, select the Add booking button and follow the usual process to admit the resident, during which you will now be able to select the room their partner is currently occupying.
