How to amend or cancel a booking, including discharging a resident
Sometimes it can be necessary to amend an existing room booking, or cancel it entirely. This includes when a resident is discharged, in which case CareHQ will update the related booking.
This article covers how to amend or cancel a room booking, and how to discharge a resident, which will automatically add related details to the booking.
How to amend a room booking
To amend an existing room booking, follow the steps below:
- From the main navigation, select Service users and then search for and select the appropriate service user.
- Select the Bookings (room) tab from the top of the page.
- Select the booking to be amended.
- Update the booking as required, before selecting Save to record the changes.
How to cancel a room booking
To cancel a room booking, follow the same steps as above to reach the Update booking form, then:
- Select the Cancel action at the top of the page.
- Enter a Reason for cancellation, and Cancellation notes to help explain the cancellation if appropriate.
- Select Confirm cancellation.
How to discharge a resident / service user
Discharging a resident will automatically amend the related room booking. Follow the steps below:
- From the main navigation, select Service users and then search for and select the appropriate service user.
- Select the Discharge action from the top of the page.
- Select a Discharge date and Reason for checking out.
- You can also enter Checkout notes if you selected Other reason, or simply to add more information.
- If you are discharging a resident because they have passed away you will be given the option to select if they were receiving end of life (palliative) care at the time.
- Select Save to record the discharge.
When the Discharge form has been completed you are taken to the Bookings tab for the service user with the related booking automatically updated to reflect the details that were entered, including an End date and Reason for checking out. Because of this, if discharging a resident it's best to use the Discharge action rather than simply amending the booking.
