Custom exports / reports based on actions

Automated actions are useful as reminders and to help track the progress of a variety of processes/events on CareHQ, but the Actions dashboard can also be filtered in order to extract related information in the form of a range of exports which can be helpful for reporting.

This article covers how to export selected information from the Actions dashboard in CSV or Excel format.

Good to know

A wide range of reports collected into categories such as Sales or Finance can be accessed by selecting Reports from the main navigation menu, but if you're interested in data related to actions then continue reading below to find out how to access and export this information.

How to export selected information related to automated actions

To filter the actions presented to just those you are interested in, follow these steps:

  • Select Dashboards > Actions from the main navigation menu.
  • Select the Search tab from the top of the page to be able to access all actions.
  • Select the Filter and then update the following optional fields as required:
    • Sort by, if you wish to reorder the filtered actions by created date.
    • Choose a Subject if you wish to narrow the Automated actions to only those related to that subject.
    • Choose an Automated action to filter the results to that specific action.
    • Select a Start date and/or End date to include only actions created within those dates.
    • Select an action Status, as appropriate.
    • Start typing the name of a user into the Assigned to field, and then select their name, to only include actions that were assigned to that individual.
    • Start typing the name of a home into the Location field, and then select the name, to only include actions that were related to that location.
    • Select the Tags field and then the name of a tag (repeat to add more than one) to only include actions linked to the chosen tag(s).
    • Select the Notification group field and then the name of a group (repeat to add more than one) to only include actions linked to the chosen notification group(s).
  • Select the Update button to apply your chosen filter settings, which will refine the list to only show actions that match the settings selected.
  • If you would like to export the resulting action details to act as a report or for use elsewhere, select Export from the top of the page and then Download as CSV or Download as Excel.

Due to the number of filtering options, if you select to filter by multiple fields at once then it's likely the results will include a small number of actions or even none at all. For exports more useful as reports, it may be best to use only a few filter options over a chosen date range to provide insight into a certain item of interest over time.

One example might be to update the filter to select an Automated action of interest and also the status of Complete, which when combined with start and end dates would give a good indication of performance in a certain area for the selected date range. There are many possibilities for the extraction of useful information.

Good to know

The heading above specifies automated actions because although you can search and filter the list to show automated or manually added actions, focusing on a particular automated action will give the best data. This is because automated actions are generated by CareHQ to act as reminders when required and so they are the most consistent source of data. Actions added manually can be useful to the related users but are less suitable for reporting due to their ad hoc nature.
